What does the communication sent from my Payt administration look like?

This article explains how to see exactly which emails, letters, and text messages your customers receive, using the preview functionality.

Every administration in Payt is different: your own logo, name, and any custom texts determine how the communication appears to your customers. The quickest way to see exactly what is being sent is by opening a preview from an invoice.

How to open a preview

  1. Open an invoice that has completed the full process. The easiest way to find one is by filtering the invoice overview by the status 'Debt collection'. An invoice with this status has gone through all steps and therefore gives the most complete picture.

  2. On the invoice page, look at the timeline on the right for an overview of the completed steps.

  3. Under the desired step (for example 'Invoice sent' or 'Second reminder'), click the blue text of a sending method ('Email', 'Letter' or 'SMS') to open a preview of that step.

Repeat this for the different steps and sending methods to get a complete picture of all communication sent from your administration.

What do you see in the preview?

The preview shows the email, letter, or text message as the customer received it. Among other things, you will see the following elements:

  • The logo of your administration. You can upload this in the administration settings under 'Details'.

  • The public name of your administration. This refers to the 'Administration name' (not the 'Internal administration name'). You can change this in the administration settings under 'Details'.

  • A possible payment button. Whether or not you offer online payments to your customers is configured in the 'Online payments' settings.

  • Any custom texts. These are additional sentences that have been added or changed in the standard template. Would you like to customise your templates? Please contact the service desk.
