How do I activate the 'Reconciliation' module in Payt?

When activating the 'Reconciliation' module, determine exactly which transactions you want to import and what should happen with linked transactions.

Step 1: Have the module activated

To do this, contact the Payt service desk.

Step 2: Connect the bank account

  1. Open the organisation settings from the organisation dashboard. You can find this by clicking on the Payt logo in the top left.

  2. Choose the 'Bank connections' tab on the left.

  3. Select 'Create bank connection' in the top right.

  4. Find the bank you are connected to and follow the steps.

Step 3: Determine which transactions you want to import

  1. Open the organisation settings from the organisation dashboard. You can find this by clicking on the Payt logo in the top left.

  2. Choose the 'Bank accounts' tab on the left.

  3. First determine from which bank account you want to load the transactions. You can also load transactions from multiple bank accounts.

    1. Is the desired bank account not listed yet? Add it using the 'Add bank account' button.

  4. Determine which transactions you want to exclude from the bank account by choosing 'Transaction settings' per bank account.

    1. Choose which amounts you want to import or exclude. If you leave these fields empty, all transactions will be imported regardless of their amount.

    2. Choose which IBANs you want to exclude. If you leave this field empty, all transactions will be imported regardless of the IBAN.

      1. Please note: It may occur that the debtor's IBAN cannot be imported, for example because it is not correctly passed on by the bank. We are then unable to exclude the transaction based on IBAN.

    3. Choose which keywords you want to exclude. These are keywords in the description of the transactions. If you leave this field empty, all transactions will be imported regardless of the description.

  5. Save the changes at the bottom of the page.

Step 4: Determine how you want to match payments

  1. Open the administration in which you want to configure the module.

  2. Open the administration settings via the gear icon in the top right.

  3. Choose the 'Payment Matching' tab on the left under 'Modules'.

  4. Select 'Create configuration' in the top right. Here you determine exactly how you want to match payments.

    1. Select the bank account on the left. If you want to link multiple bank accounts to this administration, create multiple configurations.

    2. Determine the payment matching method.

      1. Register payments: This means that a payment is registered on the cases that are matched. The outstanding amount is therefore adjusted immediately.

      2. Pause cases: This means that matched cases are no longer followed up in Payt, but the outstanding amount is not updated. If the accounting is not updated immediately, this is a good choice to prevent cases from being reopened after matching at the next import.

    3. Have you chosen the payment matching method 'Register payments'? That means the balance of the cases is updated immediately upon matching. You can therefore determine what write-offs Payt may suggest during matching.

      1. Write-off amount: The maximum fixed amount that Payt may automatically suggest as a write-off if this has not been paid by a suggested transaction.

      2. Write-off percentage: The maximum percentage of a case that Payt may automatically suggest as a write-off if this has not been paid by a suggested transaction.

    4. Determine whether you want to automatically match payments. This means that you do not manually link transactions to the correct cases, but that this happens automatically. You specify how reliable the match must be in order to automatically link it to a case.

    5. Choose 'Create configuration' in the bottom left.
