How do I link a transaction to a file?

Learn how to link transactions with and without a matching suggestion to the correct files.

To (automatically) link your incoming transactions to files, you need the 'Reconciliation' module. Read more: How do I activate the 'Reconciliation' module in Payt?

Step 1: Open outstanding transactions

  1. Click 'Transactions' in the menu at the top left. You will see all transactions that have been imported from the bank account.

    1. Filter by the status 'Outstanding' on the left to see only transactions that have not yet been linked to a file (invoice or debt collection case).

  2. Click on the name of the account holder to open a transaction.

Step 2: Linking a transaction to a case

Depending on the transaction, a suggestion may or may not already be available.

A suggestion is available

  1. Review the suggestion and assess whether the transaction should be linked to the proposed case (invoice or debt collection case) or not.

  2. Is the suggestion correct? Click 'Process' at the bottom of the page. The transaction will be linked.

    1. Is the suggestion incorrect? Click 'Unmatch' to the left of the proposed case. Then follow the steps under 'No suggestion is available yet'.

  1. Use the search bar on the right to find the case (invoice or debt collection case) you want to link. You can search by customer name, and the number of the customer, invoice, or debt collection case.

    1. Tip: Use the filter icon to the left of the search bar to filter by attributes such as the outstanding amount or the total amount.

  2. Hover over the desired case and click 'Match'. You can select multiple cases.

  3. Review the overview and click 'Process' at the bottom of the page. The transaction will be linked.

Tip: After processing a transaction, do you want to stay on the page, or navigate to the previous transaction? Click the arrow next to 'Process' to choose a preferred option.

Matching multiple transactions

Do you want to prepare multiple transactions at once so you can work through them quickly? Here's how:

  1. Go to the overview of all outstanding transactions.

  2. Check the transactions you want to match.

  3. Click 'Bulk actions' > 'Prepare for reconciliation' in the top right.

  4. The first transaction will open. Use the 'Previous transaction' and 'Next transaction' buttons in the top left to navigate between the prepared transactions.
